Our Block Management Service

All developments are different, and the needs of our clients vary. We will work with you to create a bespoke package from the service elements detailed below.

Following an initial meeting with you to discuss your exact requirements, we will provide you with a full quotation.

Financial management

We will work with you and your accountants to effectively manage the finances for your development. Some examples of the duties we can carry out include:

  • Collection of service charges, reserve funds and ground rents
  • Preparation of budgets
  • Cash flow forecasts and plans for future expenditure
  • Payment of approved invoices to contractors and utilities
  • Book keeping
  • Preparation of regular financial statements for Directors
  • Preparation of Annual Accounts

In addition, we will also work with you to ensure that service charges are paid promptly. Where problems collecting service charges occur we have tried and tested procedures including:

  • Arrears letters
  • Increased communication with habitual late payers
  • Contact by phone and face to face where possible
  • Cost effective legal action when other routes are exhausted

Administration

We can take care of all aspects of administration for your residential management company, including:

  • Organising the Annual General Meeting
  • Arranging Directors’ meetings and taking minutes
  • Distribution of accounts and minutes as required
  • Company Secretarial
  • Registered Office address
  • Maintaining the company share register
  • Maintaining a contact database of owners
  • Communication with the Freehold Company, if required

Legislation, safety and security

We will ensure that your property is managed in a way that is compliant with the relevant legislation and that meets your safety and security requirements. Some examples of duties we can carry out include:

  • Arranging appropriate insurance
  • Conducting risk assessments
  • Commissioning fire assessments / asbestos surveys
  • Maintaining safety equipment
  • Monitoring security and making necessary improvements

Block Maintenance

The appearance of any building creates a lasting impression. We will work with you and your contractors to ensure that the building, grounds, car parks and all communal areas are maintained to as high a standard as budgets permit. We undertake to:

  • Carefully monitor gardening, maintenance and cleaning contractors to ensure that best value is achieved and standards are maintained
  • Regularly inspect the property to ensure quality and to monitor any ongoing problems with the building
  • Set up a dedicated email address, as well as our usual phone number, for owners and residents to report maintenance problems
  • Record all maintenance queries and report them to Directors and at the AGM
  • Report back to owners and residents once their problem has been solved
  • Oversee and manage maintenance projects such as re-decoration, communal door replacement and the installation of communal satellite dishes
  • Oversee and manage major works

Communication

We believe in building long-term relationships with our clients so communication is very important to us. We communicate via:

  • Regular email communication with Directors
  • Quarterly meetings with Directors at the Neil Douglas office
  • Printed newsletters for owners and residents
  • Letters to individual owners and residents regarding maintenance or accounts issues
  • Telephone and email communications with individual owners and residents
